Website governance: who does what?

Website governance covers the decisions around running your site: who can publish, who approves changes, and who has access. We help you put those responsibilities in writing and keep them up to date.

Start with the accounts and people involved

A domain may be in a former employee's account. Several vendors may have administrator access. A page may be waiting for approval because nobody knows who can give it. We review your setup with the people involved and work through those gaps.

The result is an account register, named owners, a publishing approval process, and a schedule for checking them. Your organization keeps control of its accounts and policy decisions.

What we put in place

Ownership and access

Record who controls the domain, hosting, CMS, and connected services. Review who has access and what should happen when someone changes roles or leaves.

Publishing roles

Decide who writes a page, who checks it, and who can publish it. A routine news update may need a different approval path from a change to payment instructions.

Standards and patterns

Give editors checks for headings, links, images, accessibility, and content accuracy. Use shared templates where they help keep pages consistent.

Vendor oversight

Document which vendor handles which systems, how problems are reported, and what must be handed over when a contract ends.

Keeping the plan current

An ownership document gets out of date when staff, vendors, or systems change. Ongoing oversight gives someone responsibility for reviewing it and following up on unresolved decisions.

We can review account access, upcoming website work, and outstanding approvals with your team on an agreed schedule. Our website governance framework includes an example approval record and access review.

The same process can cover accessibility reviews, cookie consent implementation, and ongoing website support, so those jobs have an owner too.

Our guide shows how to record an approval for a specific page revision, assign WordPress permissions, and review access when someone leaves.
